4. Legal basis for processing
We process personal data on the basis of:
- Consent – for example, when you submit a form, apply for a job or accept optional cookies. You may withdraw consent at any time, and withdrawal does not affect processing carried out before it.
- Legitimate uses permitted by law – for example, where you voluntarily provide data for a specific purpose, or where processing is required to comply with law, a court order or for the prevention of fraud.
5. How we share personal data
We share personal data only as needed for the purposes described in this policy:
- Service providers who host the Website, deliver our email, store data and support our operations. They process data only on our instructions and under contractual confidentiality and security obligations.
- Advertising and analytics partners, such as Meta Platforms. When you submit certain forms, we send Meta an event that may include your email address and phone number in a hashed (encrypted, non-readable) form, together with your IP address and browser details, so that we can measure our advertising. Optional advertising and analytics cookies are used only in line with your cookie choices.
- Professional advisers, such as lawyers, auditors and accountants, where necessary.
- Authorities, where we are required to do so by law or to protect our rights, our users or the public.
- Business transfers, in connection with a merger, acquisition, financing or sale of all or part of our business, subject to equivalent protection of your data.
6. Cookies and similar technologies
We use cookies and similar technologies that are necessary for the Website to function, and, with your consent, optional cookies for analytics and advertising. You can accept all cookies, allow only necessary cookies or decline through our cookie banner, and you can also control cookies through your browser settings. For details, please read our Cookie Policy.
7. Personal data processed through Belong
Belong is a workforce management platform used by organisations to manage employee records, onboarding, contracts, leave and related HR activities. When an organisation uses Belong:
- The organisation decides what employee data is collected and why, and is responsible for that processing (the "Data Fiduciary").
- Duvee processes that data on the organisation's behalf and under its instructions, in accordance with our agreement with the organisation and applicable law.
- Employees who wish to access, correct or erase data held in Belong should contact their employer first. We will support the employer in responding to such requests.
Where Duvee itself decides how Belong data is used, for example to secure the platform or maintain user accounts, we act as Data Fiduciary for that limited processing, and this policy applies.
8. Where your data is stored
Your data is stored on servers operated by us or our service providers. Some providers may store or process data outside India. Where this happens, we transfer data only as permitted under the DPDP Act and take reasonable steps to ensure it remains protected.
9. How long we keep your data
We keep personal data only as long as it is needed for the purpose for which it was collected, or as required by law. In general:
- Enquiries and demo requests: for up to 24 months after our last interaction, unless a business relationship follows.
- Job applications: for up to 12 months after the hiring decision, so that we may consider you for future roles. If you are hired, your data becomes part of your employment records.
- Records we must retain by law, such as tax, accounting or legal records, are kept for the period the law requires.
When data is no longer needed, we delete or anonymise it securely.
10. How we protect your data
We use reasonable technical and organisational security measures, including encrypted connections (HTTPS), access controls, restricted access on a need-to-know basis and protection of our forms against automated abuse. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. If a personal data breach occurs, we will notify affected individuals and the Data Protection Board of India as required by law.
11. Your rights
Subject to applicable law, you have the right to:
- Access a summary of the personal data we process about you and the processing activities involved.
- Correct, complete or update inaccurate or incomplete personal data.
- Erase personal data that is no longer needed, unless we must keep it by law.
- Withdraw consent at any time, as easily as you gave it.
- Grievance redressal – raise a complaint with us about how your data is handled.
- Nominate another person to exercise your rights in the event of your death or incapacity.
To unsubscribe from marketing emails, use the unsubscribe link in the email or write to us. To exercise any other right, email us at info@duveetech.com. We may need to verify your identity before acting on your request, and we will respond within the time required by applicable law.
If you are not satisfied with our response, you may file a complaint with the Data Protection Board of India.
12. Children's data
The Website and our services are intended for adults and businesses. We do not knowingly collect personal data from children under 18 years of age. If you believe a child has provided us with personal data, please contact us and we will delete it.
13. Third-party websites and services
The Website may link to third-party websites and services, such as WhatsApp, LinkedIn and other social media platforms. We are not responsible for their privacy practices, and we encourage you to read their privacy policies.
